Common Events

DO NOT SIGN CONTRACTS!

    • Infomation tables
      • YOU
        • must reserve these tables ahead of time.
        • may reserve an unlimited amount of these tables.
      • Reservations are available on a first-come, first-served basis.
    • Fundraising tables
      • You must reserve these tables ahead of time.
      • Use of these tables requires payment of a $10 charge per table, per day.
      • If these tables will be used to sell merchandise, you will first need approval from SLL before reserving a table.
      • Any food being sold MUST be pre-packaged. Bake sales or self-made products are not allowed.
    • Tabling in University Center
      • There are...
        • two spaces by Café 65
        • two spaces by Jazzman’s Café.
    • Tabling across campus
    • Contracts should be routed through the SLL office to obtain the required signatures and ensure compliance with university policy.
      • If a student signs a contract, they are obligating themselves as an individual and not the university to the contract terms.
    • Guest speakers and performers may have specific equipment needs, and these requests should be given to Event Services prior to the event.
    • If you have a high profile speaker coming to campus, ensure that you have thought of all possibilities for the day of the event.

    • Student Life and Leadership supports all ideas, thoughts, and opinions of clubs on campus.
      • If your club has an event that may be controversial to the UCCS community and/or the Colorado Springs community, please note this in the Event Registration Form and SLL will help take the necessary measures to ensure your club has a successful event
    • Clubs must use UCCS Dining and Food Services if any food will be served at an on-campus event.
      • UCCS Dining and Food Services has exclusive first right of refusal for all UCCS campus catering and concessions.
    • If your club wishes to use an outside caterer, an exemption form must be approved by the Executive Director of Auxiliary Services.
      • The catering exemption form is part of the event registration form in MLC.
    • CCS Dining and Food Services maintains both a regular catering menu, and a special menu just for clubs and organizations.
      • The club and organization catering menu has a more limited selection, but at a lower price.
      • This menu is available in the SLL office.

    • Rooms on the first and third floor of the UC are all equipped with T.V.s and speakers
    • A.V. requests and orders are usually made at the same time that room reservations are made.

    • If a club is having a closed meeting with club members only and the gathering is not advertised in any way, film rights are not needed.
    • All clubs wishing to publicly show a movie or film are required to have film rights.
      • The film rights must be attached to the Event Registration Form before the event occurs.
      • Please note that purchasing film rights can cost anywhere between $200 - $1,000.
    • The Office of Student Activities can assist in purchasing these film rights!

    • ALL contracts must go through the Student Life and Leadership Office.
    • If the event is on campus, equipment may be available to the club.

    • The weather is unpredictable!
      • Have a backup plan that is indoors
    • Keep in mind that access to power will be limited.
    • For information on available equipment and use of equipment at your event, please coordinate with Event Services (events@uccs.edu).
    • Are you having a large variety of guests?
      • Think of ideas for shade, and a way for guests to stay hydrated.
      • Don't forget sunscreen!
    • Please have a campus map prepared to include the proposed route.
      • Minimize crossing of any streets.
    • If the race/walk is a fundraiser of any sort, please note that the club has to follow all fundraising guidelines.
